01Executive summary

Why now.

Aster Robotics is launching a new product and needs a brand film plus a set of short social cutdowns to carry the story across its website and paid channels. Lumen & Frame will handle the production end to end, from creative treatment and shot planning through the shoot, edit, and licensed delivery, so the client receives platform-ready video with clear usage rights.

The launch has strong messaging but no motion assets, past video was outsourced piecemeal with inconsistent quality and unclear licensing, and the team needs a hero film plus cutdowns sized for each channel.

Solution Overview

A single planned production covering a brand film and a set of platform-specific cutdowns, delivered as edited masters with a written commercial license for the agreed channels and term.

03Approach

How we engage.

Methodology
The engagement runs in four stages: pre-production and creative treatment, the production shoot, post-production and editing, then licensing and delivery. Treatment and shot list are locked before the shoot so the day is efficient and the deliverables are unambiguous.
Description

A planned production with the treatment and shot list locked before the shoot day, and licensing agreed up front.

Client Dependencies

  • Approved creative brief, messaging, and any brand or product assets
  • Product units, location access, and any on-camera talent or spokespeople
  • One point of contact for approvals on the shoot day
  • Confirmation of the channels and territory the video will run in
04Scope of work

What's in & out.

In Scope

  • Creative treatment, shot list, and a production schedule
  • One production shoot day with the agreed crew and equipment
  • Editing of one hero film and a set of platform cutdowns, with one revision round
  • Licensed music or sound design and basic motion graphics
  • Delivery of edited masters and cutdowns in the agreed formats and aspect ratios

Out of Scope

  • Additional shoot days, locations, or reshoots outside the agreed plan
  • Paid actors, licensed talent, or location fees beyond the agreed budget
  • Scriptwriting and messaging development beyond the creative treatment
  • Ongoing content retainers or channel management
  • Extending usage beyond the licensed channels, territory, or term

Success Prerequisites

  • Creative treatment and shot list approved before the shoot day
  • Product, location, and talent confirmed before the shoot
  • Channels, territory, and license term confirmed in writing
  • Edit feedback consolidated into one revision round

Case Studies

Consumer hardware launch

Produced a brand film and social cutdowns for a product launch from a single shoot day.

Delivered launch-ready video across web and paid social from one production.
B2B software brand

Created a hero film and a set of platform-specific cutdowns with clear licensing.

Standardized the brand's video look and gave the team reusable, licensed assets.

Differentiators

  • A hero film and platform cutdowns planned from one shoot, not separate jobs
  • Written licensing agreed up front, not an informal file handover
  • Motion deliverables sized for each channel and aspect ratio
09Risks

What could go wrong.

Risk
Shoot day runs over or weather affects an exterior setup
Mitigation
The shot list is prioritized and a contingency window is agreed so critical shots are captured first.
Risk
Usage needs grow after delivery (new channels or territory)
Mitigation
License scope is agreed up front; added channels, territory, or term are handled as a written licensing add-on rather than assumed.

MSA Reference

This proposal may be attached to a separate services agreement if the parties choose to execute one.

IP Ownership

Lumen & Frame retains copyright in the produced footage and edits. On full payment, the client receives a commercial license to use the delivered masters and cutdowns on the agreed channels, in the agreed territory, for the agreed term. Licensed music, stock, and third-party assets are used under their own licenses. Additional channels, territory, exclusivity, or a longer term are available for an added licensing fee, and the studio may use the work in its portfolio unless the parties agree otherwise in writing.

Termination Clause

Either party may terminate with written notice. The booking deposit is non-refundable once the shoot is scheduled. Work completed through the termination date remains payable, and any masters delivered for paid milestones may be used under the agreed license.

Template questions

What should a videography proposal include?

A strong videography proposal covers the creative treatment and shot list, the production plan (crew, equipment, shoot days), the edited deliverables and platform cutdowns, usage rights and licensing, a timeline with turnaround, and pricing with a deposit and revision policy. Locking the treatment and licensing before the shoot keeps the day efficient and the deliverables unambiguous.

How do usage rights work for video production?

The producer usually retains copyright and grants the client a license to use the delivered video. Spell out the channels (web, paid social, broadcast), territory, term, and exclusivity, and note that licensed music and stock carry their own licenses. Extending usage later is a licensing add-on, not an assumption. This template makes those choices explicit.

How is a videography proposal different from a photography proposal?

Video adds motion-specific deliverables (a hero edit plus platform cutdowns and aspect ratios), an edit-and-revision stage, licensed music or sound design, and larger crew and gear line items. Licensing also differs, since video often runs across paid channels. This template is built for the video case rather than reusing still-image terms.

Should a videography proposal ask for a deposit?

Yes. A booking deposit (often 50 percent) secures the shoot date and is typically non-refundable once scheduled, with the balance tied to shoot completion and final delivery. This template uses a deposit, shoot-completion, and delivery schedule that always adds up to the total.
