01Executive summary

Why now.

Harborview Plaza's exterior common areas have deteriorated to the point where cracked hardscape, overgrown beds, and a failing irrigation system are affecting tenant satisfaction and curb appeal for prospective lessees. Greenline Landscapes will survey the site, deliver a new landscape design, and execute a phased installation covering hardscape, softscape, and irrigation, followed by a 90-day maintenance period to establish plant health before handing care back to the property team.

02Business case

The problem & solution.

The Challenge

The property's landscape has not been redesigned in over a decade. Cracked walkways, sparse planting beds, and a malfunctioning irrigation system create a poor first impression for prospective tenants and draw recurring complaints from current ones.

Solution Overview

A full landscape redesign that replaces deteriorated hardscape, installs drought-tolerant planting suited to the microclimate, upgrades the irrigation system to smart controllers, and includes a 90-day establishment maintenance period.

Success Metrics

  • Curb appeal
    Current
Visible deterioration, tenant complaints on record
    Target
Refreshed exterior with no outstanding landscape-related complaints
  • Irrigation efficiency
    Current
Manual system with visible leaks and overwatering
    Target
Smart-controller irrigation with zone-based scheduling and no leaks
  • Plant establishment rate
    Current
    N/A (new installation)
    Target
90%+ plant survival at the end of the 90-day maintenance period
03Approach

How we engage.

Methodology
The project begins with a site survey and soil analysis to inform the design. Once the landscape plan is approved, hardscape demolition and construction run first so heavy equipment is off site before planting begins. Softscape installation follows with irrigation upgrades integrated into the planting schedule. A 90-day maintenance period establishes plant health and confirms irrigation coverage before the property team takes over ongoing care.
Description

A survey-driven landscape redesign executed in four phases, with hardscape preceding softscape to protect new plantings from construction traffic.

Client Dependencies

  • Access to the full property exterior, including gated or restricted areas
  • Timely design approval and material selections (5 business days)
  • Coordination with tenants on any temporary walkway closures or parking adjustments
  • Water supply access for irrigation testing and the establishment period
04Scope of work

What's in & out.

In Scope

  • Site survey, soil analysis, and a scaled landscape design with material specifications
  • Hardscape demolition and construction: walkways, entry features, retaining walls, and drainage grading
  • Irrigation system upgrade with smart controllers and zone-based scheduling
  • Softscape installation: trees, shrubs, groundcover, and mulch per the approved design
  • 90-day establishment maintenance including watering, pruning, replacements, and a final walkthrough

Out of Scope

  • Structural repairs to buildings, parking lots, or retaining walls not in the landscape scope
  • Outdoor lighting design and electrical work (can be quoted separately)
  • Ongoing landscape maintenance beyond the 90-day establishment period
  • Snow removal, ice management, or seasonal holiday installations
  • Permit fees for any work requiring municipal approval

Success Prerequisites

  • Full property access confirmed before the site survey
  • Landscape design approved and material selections finalized before hardscape begins
  • Tenant notification of temporary closures coordinated with property management

Case Studies

Suburban office campus

Redesigned 2.5 acres of common-area landscape for a multi-building office campus, replacing turf with drought-tolerant planting and upgrading to smart irrigation.

Reduced annual water consumption by 40% and eliminated tenant landscape complaints within the first quarter.
Retail shopping center

Replaced deteriorated entry hardscape and installed new planting beds across the main pedestrian corridor.

Completed during off-peak hours with no store closures and a 95% plant survival rate at 90 days.

Differentiators

  • Design-build model with the designer on site during installation, not just at plan delivery
  • 90-day establishment maintenance included, ensuring plant survival before handover
  • Drought-tolerant plant palettes that reduce long-term water and maintenance costs
09Risks

What could go wrong.

Risk
Soil conditions or underground utilities discovered during excavation
Mitigation
The site survey includes utility locates and soil analysis. Any unforeseen conditions are documented and addressed as a change order before work proceeds.
Risk
Plant material unavailability due to nursery supply
Mitigation
The plant schedule includes approved substitutions for every specified variety. Substitutions are confirmed with the property manager before installation.
Risk
Weather delays during the installation window
Mitigation
The schedule includes a one-week float. Hardscape work continues in light rain; planting is rescheduled only for sustained heavy weather.

Template questions

What should a landscaping proposal include?

A strong landscaping proposal covers the site assessment, design concept, hardscape and softscape scope, a planting schedule, material specifications, a maintenance handover plan, and pricing with milestone payments tied to each phase.

How do you price a landscaping project?

Price by phase: design, hardscape installation, softscape and planting, and maintenance handover. Include material costs and labor separately so the client can see where the budget goes. Milestone payments tied to phase completion are standard.

Should a landscaping proposal include a maintenance plan?

Yes. A 30 to 90 day establishment care period after planting is standard, covering watering, fertilization, and plant replacement guarantees. Ongoing maintenance beyond establishment is typically a separate agreement.

What should be out of scope in a landscaping proposal?

Typically utility relocation, irrigation system repairs not caused by the project, tree removal requiring specialized permitting, and ongoing lawn care beyond the establishment period.
