Free Event Planning Proposal Template
A free event planning proposal template with a production timeline, vendor coordination plan, budget breakdown, and milestone payments.
Corporate Conference Proposal
A full-service corporate conference for a mid-size audience covering planning, vendor sourcing, production, day-of execution, and post-event reporting.
Why now.
NovaTech Solutions is hosting its annual customer conference for several hundred attendees and needs a planning partner to handle the full event lifecycle, from venue selection and vendor sourcing through day-of production and post-event reporting. Eventcraft Studio will manage the conference end to end, delivering a polished two-day program that reflects NovaTech's brand while keeping logistics invisible to attendees and speakers.
The problem & solution.
NovaTech's marketing team lacks the bandwidth and vendor relationships to produce a large-scale conference in-house without pulling staff off active campaigns, and last year's self-managed event had visible logistics gaps that attendees noted in post-event surveys.
A dedicated event planning engagement that owns the vendor relationships, production timeline, and day-of execution so NovaTech's marketing team stays focused on content and attendee experience while Eventcraft handles everything operational.

Template questions
What should an event planning proposal include?
A strong event planning proposal covers the event concept and objectives, venue and vendor coordination, a production timeline, a detailed budget with line items for each category, staffing, and payment milestones tied to planning and execution phases.
How do you structure pricing for event planning?
Break the total into categories: planning and coordination fees, vendor and venue costs, production and staffing, and a management fee. Tie payments to milestones: deposit on booking, pre-production payment, and final settlement after the event.
What should be out of scope in an event planning proposal?
Typically travel and accommodation for the client's guests, post-event media editing beyond agreed deliverables, and third-party vendor overages not pre-approved. Clear exclusions prevent scope creep on event day.
Should an event proposal include a contingency plan?
Yes. Weather backup for outdoor events, vendor substitution plans, and a communication protocol for day-of changes are standard. The proposal should define who holds decision authority on the day.
