01Executive summary

Why now.

Sterling Partners is launching a quarterly client appreciation series, each event serving 60 to 80 guests, and needs a catering partner who can develop a cohesive menu program, handle all procurement and kitchen prep, and deliver seamless on-site service across all four events. Nourish Catering Co. will design the menu program around Sterling's brand and guest profile, manage sourcing and preparation, staff each event, and deliver a post-series report with per-event cost breakdowns and guest feedback.

02Business case

The problem & solution.

The Challenge

Sterling Partners has relied on ad hoc restaurant orders for client events, resulting in inconsistent quality, limited dietary accommodation, and no cohesive brand experience across occasions.

Solution Overview

A structured catering program with custom menus designed for the series, consistent sourcing and preparation standards, professional service staff at every event, and a feedback loop that refines each menu based on guest response.

Success Metrics

  • Menu consistency
    Current
Different restaurant each event, no cohesion
    Target
A unified menu program with seasonal variation and consistent quality
  • Dietary coverage
    Current
    Limited options, frequent guest complaints
    Target
Every event accommodates vegetarian, vegan, gluten-free, and common allergens without separate ordering
  • Guest feedback score
    Current
    No structured feedback collected
    Target
80%+ positive feedback per event via post-event survey
03Approach

How we engage.

Methodology
The engagement starts with a discovery session and tasting to lock down the menu program. Each event follows the same production cycle: procurement and kitchen prep in the days before, full-service setup and staffing on the day, and a debrief after. A post-series report compiles costs and feedback across all four events.
Description

A repeatable catering cycle with a custom menu program, consistent sourcing, and per-event debriefs that feed into the next occasion.

Client Dependencies

  • Confirmed guest counts at least 10 days before each event
  • Dietary restriction and allergen information collected from guests in advance
  • Event venue access for setup at least 3 hours before service
  • A designated Sterling contact for day-of coordination and guest flow
04Scope of work

What's in & out.

In Scope

  • Menu development session and a tasting for up to 6 Sterling team members
  • Ingredient sourcing and kitchen preparation for all four events
  • Full-service on-site catering: setup, plating, service, and breakdown for 60 to 80 guests per event
  • Serviceware, linens, and table settings for buffet or plated service
  • Post-series report with per-event cost breakdowns and guest feedback summary

Out of Scope

  • Alcoholic beverage service, bar staffing, and liquor procurement
  • Event planning, decor, floral, and entertainment
  • Venue rental, AV equipment, and room setup beyond the food-service area
  • Guest invitations, RSVPs, and event communications
  • Events beyond the four contracted occasions

Success Prerequisites

  • Menu program approved after tasting session before the first event
  • Guest counts confirmed at least 10 days before each event
  • Venue kitchen or prep area access confirmed for each location

Case Studies

Professional services firm

Catered a six-event quarterly client series for 70 guests per event, with custom seasonal menus and full dietary accommodation.

92% average guest satisfaction across the series, with the client renewing for a second year.
Tech startup

Managed catering for a product launch dinner and three follow-up networking events, each with a different format (seated, buffet, passed).

Delivered all four events within budget and received unsolicited guest compliments at every occasion.

Differentiators

  • A tasting-first process that locks down the menu before the first event, not a catalog selection
  • Consistent sourcing and kitchen team across all events for uniform quality
  • A post-event debrief after each occasion that refines the next menu based on real feedback
09Risks

What could go wrong.

Risk
Guest count changes significantly within the final 10 days
Mitigation
The procurement plan builds in a 10% buffer. Increases beyond 10% within the final 10 days are accommodated at a per-head surcharge communicated in advance.
Risk
Undisclosed allergen or dietary requirement on the day of the event
Mitigation
Every menu includes a safe-harbor option that is free of the eight major allergens. Service staff are briefed on all ingredients.
Risk
Venue kitchen or prep area unavailable on event day
Mitigation
All food is prepared in Nourish's licensed kitchen and transported in temperature-controlled vehicles. On-site prep is limited to plating and finishing.

Template questions

What should a catering proposal include?

A strong catering proposal covers the menu concept and tasting plan, service logistics (setup, service style, breakdown), staffing, dietary accommodation process, equipment and rentals, and pricing with a deposit and final payment schedule.

How do you price a catering proposal?

Price by event or per-head, covering food, beverage, staffing, equipment, and a service fee. Deposits (typically 50 percent) secure the date, with the balance due before or on event day. This template uses milestone payments across the engagement.

What should be out of scope in a catering proposal?

Typically venue rental, table and chair rentals not specified in the proposal, alcohol service and licensing (if not included), and post-event cleanup beyond the catering area.

Should a catering proposal include a tasting?

For events above a certain size, a tasting is standard and builds confidence in the menu before committing. This template includes a menu development and tasting phase as the first milestone.
