01Executive summary

Why now.

Pineridge Retail Group has outgrown its current bookkeeping setup. Manual spreadsheets across four locations, inconsistent categorization, and no consolidated reporting make it impossible for leadership to see the financial picture in time to act on it. Clearview Advisory will assess the current state, migrate Pineridge onto a proper cloud accounting system, deliver monthly bookkeeping and reconciliation, and provide quarterly advisory reviews that turn the numbers into decisions.

02Business case

The problem & solution.

The Challenge

Financial data is scattered across spreadsheets and bank feeds with no standardized chart of accounts, no consolidated multi-location reporting, and reconciliations running 30 to 45 days behind. Leadership decisions are made on stale or incomplete numbers.

Solution Overview

A structured accounting engagement that standardizes the chart of accounts, migrates historical data into a cloud accounting platform, delivers timely monthly books, and layers on quarterly advisory reviews that connect the financials to operational decisions.

03Approach

How we engage.

Methodology
The engagement begins with a financial assessment that maps the current state, identifies gaps, and defines the target chart of accounts. System setup and data migration follow, with parallel entry running for one month to validate accuracy. Monthly bookkeeping then runs on a defined close calendar, and quarterly advisory reviews provide a structured forum for Pineridge leadership to discuss performance, trends, and decisions.
Description

An assessment-driven accounting engagement with a defined monthly close calendar and quarterly advisory reviews over the initial term.

Client Dependencies

  • Read-only access to all bank, credit card, and loan accounts for feed integration
  • Historical financial records (prior 2 years) for migration and baseline

Why this team.

Team Members

Cameron Frost
Managing Partner

Leads the advisory relationship, conducts quarterly reviews, and provides strategic financial guidance.

Lin Chow
Senior Bookkeeper

Manages the monthly close, reconciliations, and financial statement preparation across all Pineridge locations.

Case Studies

Multi-location food service group

Migrated a five-location restaurant group from spreadsheets to cloud accounting, standardized the chart of accounts, and delivered consolidated monthly reporting.

Reduced the monthly close from 40 days to 8 business days and identified significant annual cost savings during the first quarterly review.
Regional specialty retailer

Took over bookkeeping for a three-store retailer, reconciled 18 months of backlog, and established a monthly close calendar.

Brought books current within 6 weeks and maintained a clean close every month for the remainder of the engagement.

Differentiators

  • Assessment-first approach that designs the chart of accounts before touching the data, not after
  • Quarterly advisory reviews that connect the financials to operational decisions, not just report delivery
  • Multi-location consolidation experience with retail-specific categorization and reporting
09Risks

What could go wrong.

Risk
Historical records are incomplete or inconsistent across locations
Mitigation
The financial assessment maps the current state before migration begins. Gaps are documented and a pragmatic cutover date is set rather than chasing incomplete history.
Risk
Bank feed integration fails or produces mismatched transactions
Mitigation
A one-month parallel run validates the new system against the legacy records before the old process is retired.
Risk
Monthly receipt and invoice submissions are late or incomplete
Mitigation
A defined close calendar with submission deadlines is established during onboarding. Late submissions are flagged immediately and the close timeline adjusts transparently.

Template questions

What should an accounting proposal include?

A strong accounting proposal covers the initial financial assessment, accounting system setup or migration, the ongoing bookkeeping scope (transaction categories, reconciliation frequency, reporting), advisory reviews, and pricing with a clear engagement term.

How do you price accounting and bookkeeping services?

Most engagements use a fixed monthly fee for bookkeeping with a one-time setup fee and a separate advisory rate. This template prices the initial term as a project with milestone payments across setup, monthly service, and quarterly review phases.

Should an accounting proposal include advisory services?

If you can, yes. Pure bookkeeping is a commodity; advisory (cash flow analysis, tax planning, financial strategy) is where the value sits. Including quarterly reviews in the proposal raises the engagement's value and deepens the relationship.

What should be out of scope in an accounting proposal?

Typically tax return preparation (scoped separately), audit representation, payroll processing (if not included), and any financial advisory that requires a licensed CPA opinion.
